Who we are
AlignHour is a Chrome extension that helps consultants, freelancers and teams schedule client meetings across time zones. It is made by CelaVox, operated by Ibtisam Khalid, Lahore, Pakistan, who is the data controller for the data described here. Contact: privacy@alignhour.com.
What we collect, and why
| Data | When | Why | Where it is kept |
|---|---|---|---|
| Your meetings and saved clients: client name and email, time zone, date and time, your role, meeting link, agenda, and the client's team members (names, emails, time zones, roles, and any questions you add for them) | When you save them | To show your dashboard and each person's local time | On your device, and in your Cloud Backup |
| Replies to your invites (yes, no, maybe), any note a guest added to their reply, and the event's time in Google Calendar | When you open a meeting you added to Google Calendar | To show who is coming, what they said, and whether the meeting was moved | On your device, and in your Cloud Backup |
| Your Google account email | When you click "Connect Google" | To identify your account, check your plan (Free, Pro trial, Pro, Team or Business) and link your purchase | Checked by our server each time. Stored with your backup or purchase |
| Cloud Backup: a copy of your meetings (with teams and Calendar links), saved clients, your AlignHour settings (world clocks, 12/24-hour format, activity-log sheet), and how many meetings you booked each month | Always on while Google is connected. Deleting your backup also disconnects Google | So you never lose your meeting history, can restore everything on a new computer or browser, and can use it in the web app (app.alignhour.com); and to apply the free plan's monthly limit | Our server (Supabase, Singapore region) |
| Web app (app.alignhour.com): your Google sign-in, the cities you add to "My clocks", and private meeting notes you write | When you sign in at app.alignhour.com and use it | To show your backed-up meetings, add events to your own Google Calendar, and keep your clocks and notes. Private notes are only for you and are never put in invites | The sign-in stays only in that browser tab and is removed when you close the app or sign out; it is never stored on our server. Clocks and notes are stored in your Cloud Backup |
| Country code and year (for example "DE, 2027") — nothing else | When a meeting is shown or booked | To warn you when the meeting day is a public holiday where someone lives. Sent to the free Nager.Date public-holiday service. No names, emails or meeting details are sent | The holiday list is kept on your device for up to 30 days |
| Agenda and questions you choose to translate | Only when you click "Translate" | To add a translated copy to the invite | Translated on your computer by Chrome's built-in translator. Not sent to us. The translation is saved with that meeting (and in your Cloud Backup while it is on) |
| "Pick another time" link (only for meetings where you switch it on) | When you add or update that meeting in Google Calendar | So guests can suggest a different time. The link's page shows only the meeting title, its length, its current time and up to five times you could meet. It never shows your email, other guests or other meetings | Our server. Only a fingerprint of the secret link code is kept. Removed when you switch it off or delete the meeting, and expires 30 days after the meeting |
| A guest's suggestion: proposed time, and the name, email and message they choose to add | When a guest uses that link | To show you the suggestion so you can accept it or not | Our server, until you switch the link off; and on your device / Cloud Backup |
| Pro trial: your email and the trial's start and end date | The first time you connect Google | To give you Pro free for 14 days, once per Google account | Our server |
| Your subscription (plan, status, renewal date) | When you subscribe | To give you Pro while your subscription is active | Our server, sent to us by Lemon Squeezy. Kept while you are a customer and as long as the law requires for tax records |
| Team and Business plans: shared clients and teams (names, time zones, people with their names, emails, roles and departments, usual agenda and link), who added or last changed them, and who last booked them and when. Private notes are never shared | When someone on the team shares a client or team | So everyone on the team can see and book the same clients. Only team members can read them; only the team owner can delete them | Our server, until the owner deletes them or the team is closed |
| Team and Business plans: a history of who added or removed people and who deleted shared clients | When those changes happen | So the team owner can see what changed. Only the owner can read it, and nobody can edit it | Our server, while the team exists |
| Team and Business plans: the email addresses the team owner adds, and the team name | When the owner adds people in Settings | To give those people Pro. Members can't see each other's emails; they see the team name and who manages it | Our server, until the owner removes the person or the team is closed |
| Clients page: labels and private notes you write about a client | When you type them | So you can find and remember your clients | On your device, and in your Cloud Backup |
| News and update checks | When the app opens | To show "What's new". The app only downloads public news; it sends nothing about you | Kept on your device for a few hours |
| Website waitlist: your email address, and which page of our website you signed up on | When you click "Notify me" on our website | To send you one email when AlignHour launches, with the founding-member offer. Nothing else | Our server (Supabase, Singapore). Deleted within 6 months after launch, or sooner if you ask |
| Follow-ups you plan ("meet again around 15 November"): the client's name, the planned date, when to remind you, your note, and — only if you tick "Also remind the client" — the client's email | When you plan a follow-up | To remind you to book the next meeting, and your client too if you chose that | Our server, until you delete it or your backup |
| Reminder emails: a record of each reminder we email (which meeting or follow-up, to which address, when, and whether it was delivered). The email itself contains the meeting's title, time, length, join link and the organizer's email | When you turn on a meeting reminder (sent to everyone you invited, 10 minutes to 1 day before), or a follow-up reminder | To remind people in their own time zone, and to make sure nobody gets the same email twice. Each user can send a limited number of emails per day | Our server; the record is deleted after 180 days. Emails are sent by our email provider ZeptoMail (Zoho). We don't track opens or clicks |
| If you unsubscribe: your email address | When you click "Unsubscribe" in one of our emails | So we never email you again | Our server, for as long as AlignHour sends email (it is kept even if other data about you is deleted, so the unsubscribe keeps working) |
| Messages you send us (the contact form or "Send feedback"): your name (optional), email, topic and message, and — if you were signed in — your Google account email | When you send a message | To answer you. We don't add you to any mailing list | Our server, deleted after 2 years; and our support inbox (Zoho Mail) |
| Card and payment details | At checkout | To take payment | Handled entirely by Lemon Squeezy. We never see your card |
How AlignHour uses your Google account
Connecting Google is optional. You can use AlignHour without it, and "Quick add" opens Google Calendar in a new tab without giving us any access. If you connect Google:
- Email address (
openid, email): to know which account is yours and check your plan. - Google Calendar (
calendar.events): this is asked for separately, the first time you click "Add to Google Calendar". AlignHour only creates and updates the events you ask it to, sends invites to the people you add, and reads the replies (yes, no, maybe), guests' notes and the current time of those same events so it can show who is coming and whether the meeting moved. It never reads your other events. - Gmail: AlignHour has no access to your Gmail. The "Reply" and "Their emails" buttons simply open Gmail in a new tab with a draft or a search filled in. You read and send everything yourself.
- Google Sheets activity log (
drive.file): only if you switch the log on. AlignHour creates one spreadsheet in your Google Drive and adds a row for each booking, edit or cancellation. This permission only reaches files AlignHour created itself, never your other files. The sheet stays in your Drive, and our server never receives it.
Your Google sign-in token is kept in your browser's temporary storage. It is cleared when the browser closes, and revoked when you click "Disconnect". Our server uses the token only to ask Google which email address it belongs to.
AlignHour's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We do not use Google user data for advertising, we do not sell it, and no person reads it, except with your permission or where required by law.
What we do NOT do
- We do not sell or rent your data.
- We do not use your data for advertising or profiling.
- We do not share your data with anyone, except the service providers named here (Supabase for storage, Lemon Squeezy for payments, Zoho for sending email and our support inbox, Google for the features you switch on). The public-holiday service only ever receives a country code and a year.
Legal bases (GDPR / UK GDPR)
- Contract: running the features you use (meetings, backup, plans, teams).
- Consent: connecting Google (which turns on Cloud Backup), Google Calendar and the activity log. You can withdraw it at any time by deleting your backup or disconnecting Google.
- Legitimate interests: keeping the service secure and preventing abuse (for example, limiting how often the server can be called); sending the meeting and follow-up reminders an AlignHour user asks for to the people they invited (everyone can unsubscribe in one click); and answering messages you send us.
- Legal obligation: keeping payment and tax records.
Your rights
Wherever you live, you can ask us to access, correct, export or delete your data, or to restrict or object to how we use it. Email privacy@alignhour.com from the address you use with AlignHour and we will reply within 30 days. If you are in the EU, UK or a US state with a privacy law (such as California), you also have the right to complain to your local data protection authority. We do not sell or "share" personal information as defined by the CCPA.
International transfers
Our server is hosted by Supabase in Singapore, payments are handled by Lemon Squeezy (USA), emails are sent and received by Zoho (USA), and our website is delivered by Cloudflare (USA). When your data is transferred outside your country, our providers protect it with standard contractual clauses or equivalent safeguards.
Storage and security
All connections use encrypted HTTPS. Data on our server is locked so that only our
own server code can read or write it. The extension asks only for the
storage and identity permissions, and network access to our
server, Google's APIs and the public-holiday service.
Deleting your data
- One meeting: delete it in the app. The cloud copy is deleted too.
- Your whole backup: Settings → "Delete my backed-up data". This deletes every meeting, saved client and setting we store, and disconnects Google, because backup is always on while Google is connected. We keep only this month's booking count until the month ends, so the free plan's limit still works.
- Everything, including purchase records: email privacy@alignhour.com from the address you use with AlignHour. We will delete it within 30 days, except records we must keep by law, such as tax records.
- On your device: removing the extension from Chrome deletes everything stored on your device.
Data retention
Backed-up meetings, saved clients and settings are kept until you delete them, or until you ask us to delete your account. Monthly booking counts are kept while you use AlignHour. "Delete my backed-up data" removes all of them except the current month's. Purchase records are kept as long as tax law requires. The record of reminder emails is deleted after 180 days, and messages you send us after 2 years.
Children
AlignHour is a professional tool and is not directed at children under 13.
Changes
If this policy changes, we will update this page and the "Last updated" date.
